1.  Is Acroseas compliant with the HIPAA norms?

Yes, we are 100% HIPAA compliant. You can refer to https://www.acroseas.com/why_us/security_focus.htm for details regarding HIPAA compliance and procedures we follow.

2. Do you provide a free trial?

Yes, we provide you a free trial of 200 lines.

3. Do I need to sign a contract with your company to begin using your services? Can I get a copy of the contract for review?

After the completion of the trial period, we have a formal agreement which is compliant with HIPAA and other mandatory procedures.

4. Is there any commitment in terms of minimum volume of work I need to send?

We are highly flexible and do not require any minimum guarantee. We do take an estimate to schedule your work order to meet turnaround times (TAT)

5.  Is there any specific format in which you would require me to send the dictations and in what format can you send me the transcripts back?

We can work with any format of voice files. The most preferred formats normally are Wave, DSS, DSS2, VOX, MP3, etc. We can send you the transcripts in the formats which you desire according to your requirements. The most preferred format is Microsoft Office Word.

6. What software/hardware I will need to purchase to begin using your services?

You would only need to purchase a digital dictation device/handheld device to begin recording your dictations. We would recommend you to buy a suitable digital dictation recorder from a reputed brand such as Olympus* or Sony*.

7.  How do I begin sending my dictations and retrieving the transcripts?

You can choose from any of the following methods for submitting dictations and retrieving the transcripts:
You can use our free secure FTP server for uploading your dictations and retrieving transcripts from your account on our FTP.
We can also provide you with our toll-free dial-in dictation system for submitting your dictations over a phone line at a minimum extra cost.
We can also provide you with a HIPAA-compliant website for online storage and retrieval of transcripts via our industry partners, 24/7, 365 at a minimum extra cost.

8. Can I add new clinic location/new physicians to your services from same or different locations?

Yes, you can add new clinic location/new physicians to our services from any location. We shall promptly create new accounts for your new clinic/any additional physicians from same or different locations.

9. Can I use my existing templates and formats?

Yes, we can use your existing templates and formats. You can send your templates and samples to Acroseas on the secure FTP site.

10. How is the remuneration structured?

Acroseas charges on a per-line basis. At Acroseas, one line is defined as 65 characters inclusive of space.

•    One character is defined as any letter, number, symbol, or carriage return with spaces.
